Procurement pack
Buy it, invoice it, or pilot it. No sales call in between.
StandProof is a self-serve exhibition lead capture product: £149 for one stand, £299 for a team of five, or a season of three or five shows. Everything a finance or procurement team normally has to ask for — invoicing, purchase orders, VAT details, a data processing agreement, retention, export and pilot terms — is on this page, before you speak to anyone.
Take the pack to your finance team
Pricing, data processing, retention and pilot terms as one document you can forward — no call first.
Three ways to buy
The same product and the same price on all three. Choose the route your finance team will sign off fastest, not the one that is easiest for us.
Pay by card now
Fastest, instant access
Choose a plan, pay once, and the event unlocks the moment Stripe confirms. Billing address and VAT number are collected at checkout, and a VAT invoice is issued to that email address automatically.
Ask for an invoice
PO and 30-day terms
Send us the company, the contact and the purchase order number and we raise an invoice. Larger exhibitors and procurement teams are invoiced on 30-day terms from the order date, and access unlocks when the invoice is paid.
Run a pilot first
One per account
A planner with a show booked gets a full-feature pilot on that event: unlimited scans, five devices, no card. It ends a week after the show closes, and nothing is charged if the team decides not to continue.
What procurement usually asks
Answered here so you do not have to send a questionnaire to find out. If your process needs a specific form completed, say so in the invoice request and we will complete yours.
Do we install anything on our devices?
No. StandProof runs in the browser on any phone, tablet or laptop, so there is no app to deploy, no hardware to buy and no IT project. A rep opens the link, scans once, and the camera stays available all day.
Who is the controller of the lead data?
You are. You decide what is captured, how long it is kept and who you contact. We hold it on your behalf and act only on your instructions, which is what the data processing agreement records.
Can we get all of our data out?
Yes, at any time and at no cost, on every plan including the free one. CSV export includes the fields you choose, and the export button is never behind a paywall, so no buyer is ever locked in.
How long is lead data kept?
The retention period is a setting on your event: 12, 24, 36 or 60 months, defaulting to 24. Badge and card photos are discarded once the text has been read, and you can delete an event and everything attached to it yourself.
What security is in place?
Traffic is encrypted in transit. Lead records are readable only by signed-in owners and reps, or by a device holding that stand’s eight-character code, and the code is checked on the server rather than in the browser. Card details are handled by Stripe and never reach our servers.
Is there a data processing agreement?
Yes. A DPA covering UK GDPR, our sub-processors and the international transfer position is available on request before you buy, not only after.
What does the pilot commit us to?
Nothing. No card, no purchase order, no notice period, and no automatic roll-over into a paid plan. It is one pilot per account, on one event, ending a week after the show closes.
Can we buy several shows in one approval?
Yes. A season bundles three events for £399 or five for £599, each with five devices, bought once and used in any order. Unused events do not expire.
How do refunds work?
If the show does not go ahead, or the product fails on the day, the event fee is refunded or moved to another show. The full policy is on the refunds page and is deliberately shorter than a page.
Data, security and sub-processors
Lead data is personal data captured with consent on a stand, so it is treated as such: minimised, kept in one place, exportable and deletable by you.
Data and security
- Encrypted in transit, with card data handled entirely by Stripe.
- Leads readable only by signed-in owners and reps, or a device holding the stand code.
- Stand codes verified on the server, never in the browser.
- Badge photos discarded after reading by default, on every plan.
- Retention set per event, from 12 to 60 months.
- You can delete an event and every record attached to it yourself.
A data processing agreement and a sub-processor list are available before purchase. Ask for both when you request an invoice, and they arrive with the invoice.
Sub-processors
- Base44Application hosting and the lead database
- StripeCard payments, invoices and receipts
- Companies HousePublic UK company register lookups
- AI model providersReading badge and business card images
We do not sell lead data, we do not use customer leads to train models, and we do not share records between accounts. Each event's leads are visible only to that event's team.
Pilot terms
A pilot exists so a team can judge the workflow before an invoice is approved. It is deliberately limited, and it ends by itself.
- One pilot per account, on one event.
- Unlimited scans and five devices while it runs.
- Ends a week after the show closes.
- No card, no purchase order, no auto-renewal.
- Your leads stay yours and stay exportable afterwards.
Read the terms of business, the refund policy and the GDPR position on badge scanning.
Invoicing details
- Invoices are raised in GBP, exclusive of VAT where VAT applies.
- Card purchases receive a VAT invoice automatically by email.
- Add a company name, VAT number and purchase order at checkout or in your request.
- Invoiced orders are payable on 30-day terms from the invoice date.
- Season bundles are a single invoice covering every pre-paid event.
- No annual contract and nothing renews automatically.
Buying for an event that is days away? The card route is instant; an invoiced order unlocks when the payment clears.
Request an invoice or a PO
Send the company, the contact and — if you have one — a purchase order number. We reply with the invoice, the data processing agreement and the sub-processor list, usually the same working day. If your organisation needs its own supplier form or security questionnaire, attach it in the notes and we will complete it before the invoice is raised.
Nothing is charged by sending this form, and no account is created. If the payment has to be a card, the pricing page takes you to checkout in two taps.
